written confirmation
Definition
A written confirmation is any document, email, letter, or text that puts an agreement, conversation, or decision down in writing so both parties have a record of what was said or promised. It transforms a spoken or implied understanding into something tangible that either side can refer back to later. Courts and businesses rely on written confirmations because memories fade and people sometimes remember conversations differently.
Example
If your supplier calls to tell you they are extending your payment deadline by 30 days, you should follow up with an email restating what they told you so you have written confirmation of that arrangement.
Watch Out
A verbal agreement can be legally binding, but without written confirmation you may have no way to prove what was actually promised if a dispute arises.
